Graduation Audit and Commencement Preparation: A Checklist for Campuses
From making sure graduation requirements are met to organizing commencement and diplomas: a practical checklist for academic teams.
Steps toward commencement
- Students complete their final project and defense.
- The admin runs the graduation audit.
- The faculty or study program holds the yudisium (graduation determination).
- Diplomas, transcripts, and supporting documents such as the SKPI (Diploma Supplement) are issued.
- Students register for commencement.
- The committee prepares quotas, gown sizes, and diploma collection.
What is checked in a graduation audit
- Credits passed reach the minimum for the level.
- GPA (IPK) meets the minimum threshold. The national minimum differs by level, and campuses may set a higher one.
- All compulsory courses have been passed.
- The final project is passed.
- There are no unpaid invoices.
- Library clearance.
- Special campus or study program requirements, for example a publication or a competency certificate.
Common mistakes
- The audit is done manually, so some requirements are missed.
- Grade data is not yet final at the yudisium.
- Names or personal data on the diploma are wrong because they were not checked beforehand.
- There is no clear quota or registration deadline for commencement.
Benefits of an automated audit
With an automated audit, each requirement is read directly from academic, finance, and library data. Staff only review the results and handle exceptions. After the yudisium, graduates can be automatically recorded as alumni and included in reporting data.
